Workspaces and agents

Learn what a workspace is, switch between workspaces, create a team workspace, and move or delete agents safely.

A workspace is your company's home in Hourzero. Think of it as a shared office: the agents, teammates, plan, and credits inside it belong to the office, not to one person. Everything you see in the dashboard comes from the workspace you have selected.

Where to find it: select the workspace name at the top of the sidebar. Workspace options live under Workspace Settings in the sidebar.

How workspaces work

Everyone gets a Personal workspace when they sign up. It's private to you, so it's a good place to try things out. When you want to work with colleagues, create a team workspace and invite them.

Each workspace has its own agents, members, plan, and credits. Agents never appear in two workspaces at once.

Tip

Name team workspaces after the company or brand customers know, like "Acme". It makes the right workspace easy to spot when you belong to several.

Switch workspaces

  1. Select the workspace name at the top of the sidebar.
  2. Under Workspaces, choose the workspace you want. Your Personal workspace has a Personal label.
  3. The dashboard reloads with that workspace's agents and settings.

Switching only changes what you're looking at. It doesn't copy or move anything.

Can't find an agent?

Check which workspace is selected before you create a new copy. An agent that seems to be missing is usually in a different workspace.

Create a team workspace

  1. Select the workspace name at the top of the sidebar.
  2. Select Create team workspace.
  3. Enter a Name, for example Acme. The Slug fills in automatically (acme). The slug is the short name used in workspace links. You can change it if you like.
  4. Select Create team workspace. Hourzero opens the new workspace.

Next, invite your colleagues. See Members and invitations.

You can also start a team workspace from Workspace Settings → Members while you're in your Personal workspace. Select Create team workspace at the top of the page.

Create an agent

  1. Select Agents in the sidebar.
  2. Select New AI agent.
  3. Follow the setup steps. Your first agent walks you through them.

When you're already inside an agent, you can also open the workspace menu at the top of the sidebar and select Create new agent.

Each plan includes a set number of agents. Free and Hobby include 1, Standard includes 3, and Pro includes 5. If you reach the limit, Hourzero shows a message instead of creating the agent. Upgrade the plan or delete an agent you no longer need. See Plans, billing, and invoices.

Open and manage an agent

Select an agent card on the Agents page to open it. The agent opens on its Playground. The agent's sidebar has everything for that agent: Backstage, Deployments, Playground, Build, Activity, Analytics, Contacts, Channels, Helpdesk, and Settings. Select Back to workspace to return to the workspace view.

Each agent card also has a menu with two shortcuts: Settings and Delete.

Rename your workspace

Owners and admins can change the workspace name and URL.

  1. Go to Workspace Settings → General.
  2. Under Workspace details, edit the Workspace name. It appears in the sidebar.
  3. For a team workspace, you can also edit the Workspace URL. Use lowercase letters, numbers, and hyphens only.
  4. Select Save. You'll see "Workspace updated".

Personal workspace URLs are set automatically and can't be changed.

Move an agent to another workspace

You can move an agent to another workspace, for example from your Personal workspace to the new Acme team workspace. This moves the agent itself. It doesn't make a copy.

You need to be an owner or admin in both workspaces.

  1. Open the agent and go to Settings. Stay on the General tab.
  2. Scroll to Transfer agent.
  3. Under Destination workspace, select Choose a workspace and pick the destination.
  4. Select Transfer agent, read the summary, and select Transfer agent again to confirm.

What moves with the agent, and what needs attention afterwards:

  • Moves with it: conversations, contacts, files, and settings.
  • Disconnected: connected messaging apps such as WhatsApp or Slack. Connect them again in the new workspace.
  • Turned off until you review them: webhooks and Helpdesk.
  • Set up again: Helpdesk staff assignments and file folders.
  • Stays behind: past billing, which remains with the original workspace.

Important

People in the original workspace lose access to the agent as soon as it moves. The destination workspace's plan must also have room for another agent and its files.

Delete a team workspace

Only owners can delete a team workspace. Deleting it permanently removes the workspace and all of its agents. Personal workspaces can't be deleted.

  1. Go to Workspace Settings → General.
  2. In the Danger zone, select Delete workspace.
  3. Type the workspace name exactly as shown.
  4. Select Delete workspace. Hourzero switches you to your Personal workspace.

Warning

Deleting a workspace doesn't cancel its paid plan. If the workspace has a subscription, cancel it first in Workspace Settings → Billing. And if you only want to stop paying, cancelling is enough. You don't need to delete anything.

Common questions

Who can see my Personal workspace?

Only you. Nobody can be invited to it.

Is a customer in my Contacts list a workspace member?

No. Contacts are the customers who chat with your agents. Workspace members are the people on your team who use the dashboard.

Why is a button greyed out or missing?

Some actions are for owners and admins only, such as deleting agents, connecting messaging apps, or managing billing. Check your role on the Members page and ask an owner or admin for help.
